SES-Crew Management

SES-Crew Management System has been designed to address in full the needs of crewing and to provide a comprehensive framework for managing all crew-related information. It constitutes an excellent tool for organising crew information and assists with the ISM Code and STCW compliance. Through full integration of all seamen activities and information, the system allows for better management and cost control. SES-Crew Management allows the built up of comprehensive profiles of all seamen, ranging from basic personal details, to tracking their assessments, certificates, medical reports, and employment history and it also, generates sea service reports per seaman, crew lists per vessel, projections of requirements and availability, crew and passenger list reports, crew's effects declaration form, information on seamen, embarkations, disembarkations.

Main features include:

  • Ability to define a wealth of personal information per seaman, including Family information, Addresses, Bank Accounts, Documents, Seaman Groups with which he is linked, Communication Notes, Payroll Information, Total Sea Service etc.
  • Ability through the “Seaman Information” option to search all aspects of the Crew Management database from a single screen. Through dynamic query capabilities full search in all areas of the seamen information, will return a list of seamen that meet the supplied criteria. The areas available for search are: Personal Information, Diplomas / Certificates, Medical Reports, Embarkation/Disembarkation, Other Employment, Assessments, Crew Wage Accounts, Crew Liabilities (i.e. loans), Overtime Worked, Payrolls, Allotments/Payments, Earning History. The seaman’s information is displayed in a tree-like structure.
  • Ability through the “Crew Card” selection to print a detailed profile of all seamen based on various criteria.
  • Ability to define various Document Types related per seaman (ex. passport, visa etc.) and to provide information related to them.
  • Ability to define various address types related per seaman, e.g: Main Address, Next of Kin, etc.
  • Ability to define various Note Types related per seaman, e.g: telephone discussion, dispatch of letter, etc.
  • Ability to define Seaman Groups, for example all Masters or all Seamen of a specific Vessel, etc.
  • Ability to define, if the seniority of each seaman will be calculated by the system automatically or manually.
  • Crew evaluation (Assessment reports) for improving human resources management, ensuring crew fitness for responsibilities and compliance with procedures.
  • Ability to define the Assessment Codes based on which the assessment per seaman will be generated, e.g:Leadership Qualities, Initiative, behaviour etc
  • Ability to define Weighted Importance Factor per Assessment Code
  • Ability to define the method of seaman’s assessment that best suits the User. For example, assessments could range from 1 to 10, or from A to F, or from excellent performance to poor performance.
  • In case the defined assessment scale is changed, the system automatically checks all seaman assessments and amends their records accordingly. For example, if the scale is changed from numbers to letters, and the seaman had a rate of 1, it then becomes A.
  • Crew list (online) per vessel
  • Ability to view the crew list in a tree-view structure, by Name or Rank.
  • Ability to view the passenger list in a tree-view structure.
  • Projection of seaman requirements and availability of seamen.
  • Ability to keep detailed medical records per seaman and print a medical report based on the IMO regulations and format.
  • Ability to keep detailed doctor’s diagnosis and treatment record per case per seaman.
  • History of embarkations and disembarkations per seaman
  • Complete current and historical data on each seaman.
  • Ability to define of the Seaman’s ID will be automatically generated by the system or define manually by the User.

SES-Crew Training / Drills

This is an important module for the safe operation of vessels, designed to identify, organize and follow up all crew trainings and drills of the Company and its vessels. It is divided into two main areas of interest, the one for ashore and the other for on board activities. This module records detailed information of trainings/drills for the personnel or per seaman, thus helping the Quality Manager to closely monitor office and seagoing personnel and their fitness to perform their duties.

Main features include:

  • Parametric definition of Training and/or drills required
  • Parametric definition of training or drill periodicity with due dates for easy follow-up.
  • Follow-up of training and/or drills for the seamen.
  • Identification, assignment, scheduling and completion of each training exercise and/or drill.
  • Storing all necessary information for quality management internal or external auditing procedures.

SES-Crew Payroll

The Crew Payroll System is parametrically defined, very flexible and sophisticated, yet very easy to use. Designed to accommodate a variety of requirements on payrolls (the system currently operates internationally from privately owned companies to third party crew agent companies), it allows the User to parametrically define all payroll information, break down the payroll according to any details desired, and keep track of all information to be included in a such a payroll. The system provides useful management reports to follow up of the status of any seaman's earnings, deductions and balances and it also has the ability to cover seamen of any rank or nationality. Linked with SES-Crew Management System results in time savings and avoidance of mistakes that may result from duplication of data.

Main features include:

  • Ability to define: Earnings and deductions categories, wage scales, wages by rank, as an amount, as a percentage of another earning or deduction category, or based on a User-defined formula, basic wages by years of seniority etc.
  • Information on embarked seamen.
  • Ability to define if the seniority of each seaman will be calculated by the system automatically or manually.
  • Ability to combine different User-defined formulas.
  • Ability to copy one wage scale to another wage scale, saving valuable time from defining same information repeatedly.
  • Easy review of Crew wage accounts.
  • Ability to define automatic or manual Payments and Allotments per seaman.
  • Handling of crew liabilities such as loans.
  • Ability to handle transactions in any currency.
  • Seamen’s earnings history in any currency.
  • History of seamen's status.

SES-Master’s General Accounts (M.G.A.)

This is a powerful but simple to use system, designed to handle the important function of Master's General Accounts with ease and efficiency. The system also allows the built up and follow up of inventories of slop-chest items. All incoming and outgoing stock can be tracked and be viewed in detail with up-to-date stock levels. SES-MGA is an invaluable tool to the officers onboard the vessels. Main features include:
